GrantStream Policy on Privacy and Handling of Personal Information
 
     

GrantStream Inc. is committed to maintaining the privacy of information submitted to GrantStream's databases through the services we provide to our clients. We are accountable for the safety and security of the client data stored on our systems.

Information collection

GrantStream collects and stores data on behalf of client companies and to the client companies' specifications. Generally, this data is used to:

  • Understand and assess the needs and nature of request for donations, sponsorship or volunteerism;
  • Determine eligibility for donations, sponsorship or volunteerism;
  • Decide on client's resource allocations for donations, sponsorship or volunteerism.

Use of Cookies

GrantStream technology utilizes session cookies for online applicants. Session cookies store temporary information in the applicant's browser, enabling users to complete the application form efficiently. GrantStream technology does not use persistent cookies that store information on an applicant's hard drive.

Ownership of Data and Collected Information

All data entered into GrantStream databases as a result of submissions to client companies by third parties and client company employees are the property of the respective client. GrantStream's clients are the sole owners of the information collected through their respective grant management and employee gift matching sites.

GrantStream will not sell, rent, share or disclose this information to others, unless required to do so by law. GrantStream never uses client data or collected information for its own commercial purposes. Use of client information by clients is governed by their respective corporate policies. GrantStream cannot assume responsibility for our clients' use of their data and collected information.

Protection of Information

Access to client data and collected information is restricted to authorized client representatives as designated by the client company as well as GrantStream employees, agents and authorized service providers who need it to do their jobs.

GrantStream has implemented and continues to enhance security procedures to safeguard and protect client data and collected information against loss, theft, unauthorized disclosure, copying, and unauthorized use or modification. We maintain appropriate safeguards, security procedures, organizational measures (including security clearances and limiting access on a "need-to-know" basis) and technological measures such as the use of passwords and encryption.

GrantStream will not sell, rent, share or disclose this information to others, unless required to do so by law. GrantStream never uses client data or collected information for its own commercial purposes. Use of client information by clients is governed by their respective corporate policies. GrantStream cannot assume responsibility for our clients' use of their data and collected information.

Retention of data and collected information

GrantStream retains client data and collected information for as long as is required or requested by client companies. Once requested by a client to delete client data, GrantStream deletes all client-specific data stored in GrantStream's databases.

Responsibility

GrantStream, its employees and authorized service providers are responsible for the client data and collected information in our possession. All employees and authorized service providers of GrantStream are required to protect the confidentiality of this data.

Updating or correcting client data and collected information

All requests for updates or corrections to client data must be directed to the respective client. Clients have the capacity to update, correct or report on data held within their respective GrantStream databases; however, when requested to do so by a client, GrantStream will undertake to update or correct data on behalf of the client.

Complaints

Should applicants wish to register a privacy-related complaint regarding submission of information to a GrantStream client, they should contact the respective client company; however, any complaints submitted directly to GrantStream will be investigated thoroughly and will include communication with the respective client company. If the complaint justifiably includes GrantStream's performance in the matter, GrantStream will take all appropriate steps to set the situation right, including changing policies and practices if necessary. Complainants will be informed about other complaint procedures that may be available.
